Completing Tasks

A task is an individual work activity that is assigned to a technician and includes information about the resources, such as parts and assigned labor, needed to complete the work. This guide takes you through the steps to completing tasks, starting with identifying and opening tasks assigned to you or your shop queue as described at the following links:

Opening Tasks Assigned to an Individual User

  1. To navigate to the Task Queue page, do one of the following:
    • On the Home Page, select View My Task Queue .
    • On any page, select Work Orders from the left navigation menu, then select Task Queue.

    The Work Orders > Task Queue page opens and displays tasks assigned to you and tasks assigned to your shop queue.

  2. At the top of the task list deselect My Queues. The list is filtered to show only tasks assigned to you.
  3. (Optional) At the top of the Task Queue page, select the Expand button and use the categories to further filter the list of tasks.

  4. Locate the task you want to complete. To view details about the task, select the Task Number . The Task page opens. Depending on how your organization has configured GLOBAL, you may be able to edit or add information on the task. Select Save to exit the task detail page.
  5. (Optional) To print the task, select Print.
  6. When you are ready to record the time spent completing the task, continue to one of the following:

Opening Tasks Assigned to a Shop Queue

  1. To navigate to the Task Queue page, do one of the following:
    • On the Home Page, select View My Task Queue .
    • On any page, select Work Orders from the left navigation menu, then select Task Queue.

    The Work Orders > Task Queue page opens and displays tasks assigned to you and tasks assigned to your shop queue.

  2. At the top of the task list deselect Me. The list is filtered to show only tasks assigned to your shop queue.
  3. (Optional) At the top of the Task Queue page, select the Expand button and use the categories to further filter the list of tasks.

  4. On the task you want to complete, select the Take button. The task timer start button becomes available. The task is now assigned to you and is no longer assigned to your shop queue.
  5. To view details about the task, select the Task Number. The Task page opens. Depending on how your organization has configured GLOBAL, you may be able to edit or add information on the task.
  6. (Optional) To print the task, select Print.
  7. Select Save to exit the task detail page.
  8. When you are ready to record the time spent completing the task, continue to one of the following:

Recording Task Time

GLOBAL includes two ways to record the time spent performing tasks. Users assigned to a task can use the built-in timer to automatically record the time, or separately keep track of the time spent and then enter it on the task form. Users with WO Manager or WO Admin roles can also enter the time spent on the task form when the work order associated with the task is in the Execution phase. Each method is described below.

Using the Task Timer

Task entries in GLOBAL include a built-in timer that allows the user(s) assigned to a task to automatically record the time taken to complete a task. The task timer is only available to the user(s) assigned to a task. You can pause and restart the timer and edit the time entry as needed. To use the task timer:

  1. To navigate to the Task Queue page, do one of the following:
    • On the Home Page, select View My Task Queue .
    • On any page, select Work Orders from the left navigation menu, then select Task Queue.

    The Work Orders > Task Queue page opens and displays tasks assigned to you and tasks assigned to your shop queue.

  2. (Optional) At the top of the Task Queue page, select the Expand button and use the categories to further filter the list of tasks.

  3. Locate the task you want to complete. Select the timer Start button start timer button. The timer starts running and the timer Pause and Stop buttons become available.

  4. Note: The elapsed task time is not displayed while the timer is running. When you pause or stop the timer, the time shown on the task updates and shows the time elapsed.

  5. Pause, stop, and restart the timer as needed.
  6. When you are ready to record the total time for the task, select the Stop button . The total time spent on the task is recorded.
  7. Continue to Entering Task Resources and Labor.

Manually Entering Task Time

Users assigned to a task, as well as users with WO Manager or WO Admin user roles, can manually enter task time while the work order associated with the task is in the Execution phase. The following steps show you how to enter task time when the associated work order is in the Execution phase.

Users assigned to a task can use the task timer to manually record the time spent on the task. This is available for tasks that are included on work orders that are in any of the following phases: Identification, Planning, or Execution. The following steps show you how users assigned to a task can use the task timer to manually enter task time.

Entering Task Resources and Labor

You can use the task form in GLOBAL to keep track of resources and labor used to perform tasks. Use the following steps to help you record the resources and labor used to perform tasks:

Entering Parts, Other Costs, and Documents

  1. To open the task, follow the steps in Opening Tasks Assigned to an Individual User above.
  2. Select the task number . The task details page opens.
  3. Select the type of resource you want to enter: Parts, Other Costs, or Documents.
  4. Select the Add button . A new resource entry line opens.
  5. In the first field, select the resource you want to add to the task. Some of the other fields may also fill automatically.
  6. Fill in the rest of the fields for the resource as needed. Fields marked with a red asterisk are required.
  7. To save the resource, select the check mark. To cancel the resource, select the X.

  8. Select the Save button .

Adding and Editing Labor

  1. To open the task, follow the steps in Opening Tasks Assigned to an Individual User.
  2. Select the task number . The task details page opens.
  3. Select the Labor tab.
  4. Select the Add Labor button . A new labor resource entry line opens.
  5. In the first field, select the labor resource you want to add to the task. Some of the other fields may also fill automatically.
  6. Fill in the rest of the fields for the labor resource as needed. Fields marked with a red asterisk are required. Depending on how your company has configured GLOBAL, you may not be able to fill some fields.
  7. To save the labor resource, select the check mark. To cancel the labor resource, select the X.
  8. Select the Save button .

Entering Meter Readings

  1. To open the task, follow the steps in Opening Tasks Assigned to an Individual User .
  2. Select the task number . The task details page opens.
  3. Select the Meter Updates link under the Asset field. The Meter Updates page opens and displays the active meters associated with the asset.

    Note: The Meter Updates link is only available when an asset included on the task is associated with a meter in GLOBAL.

  4. Complete the Reading and Date fields as needed for one or more meters.
  5. Select Submit. The Meter Updates page refreshes and the Last Reading column displays the new meter reading and read date information.

Completing the Task Form

The final step in completing a task in GLOBAL is completing the task form. Use the following steps to complete the task and the task form:

  1. To open the task, follow the steps in Opening Tasks Assigned to an Individual User.
  2. In the Status column drop-down list, select Complete. The Task Queue page updates. When the last task on the work order is completed, the work order status changes to Complete | Completed and the work order enters the Analysis phase.

When all of the tasks on a work order are completed, the work order is complete. The work order can then be closed and failures noted. For information about closing a work order see Closing Work Orders.
