Assets Menu and Asset Page Sections

Users with at least one Asset user role can view and access items on the Assets menu and individual asset pages. The Assets menu is on the main menu, which is available on the left side of every page in GLOBAL. Assets menu items link to pages which allow users to view and manage assets and related items such as components and bills of materials. Each individual asset page includes sections that can be used to record information about the asset. The sections are opened by selecting tabs on the left side of the asset record. This page provides information about the links on the Assets menu and the information sections that are available on each individual asset page.

Assets Menu

Assets menu items link to pages which allow users to view and manage assets and related items such as components and bills of materials. Users must have at least one Asset role assigned to view and access the Assets menu. Users with GLOBAL Administrator, Asset Manager or Asset Admin user roles can edit items on the pages the asset menu items link to.

Menu Item Function
Assets Takes users to the Assets list page. The Assets page allows users to view and manage the assets that can be assigned to work orders and tasks.
Asset Types Takes users to the Asset Types list page. The Asset Types page allows users to view and manage the asset types that can be assigned to assets.
Components Takes users to the Components list page. The Components page allows users to view and manage components that are part of assets. Components can be assigned to Bill of Materials templates, and can also be assigned to the specific bill of materials for an individual asset.
Component Types Takes users to the Component Types list page. The Component Types page allows users to view and manage the component types that can be assigned to components.
Bill of Materials

Takes users to the Bill of Materials template list page. The Bill of Materials page allows users to view and manage bill of material templates that can be used to create bills of materials for individual assets. The BOM templates allow you to create BOMs that can be easily repeated when assigning BOMs to multiple similar assets.

Note: Bill of materials templates are available for assets with the same Asset Type as the template.

Groups Takes users to the asset Groups list page. The asset Groups list page allows users to view and manage asset Groups and Sub Groups.

Asset Page Information Sections

Each individual asset page includes sections that allow you record a variety of information about the asset. The sections are opened by selecting the tabs on the left side of the asset record. Information in the General Info section is created when a new asset is added. All assets added to GLOBAL include information in the General Info section. Use the other sections and tabs to add information to meet the needs of your organization. See the table below for more information about each section available on each asset page.

Note: Users with Asset Manager or Asset Admin user roles can add and edit items on the sections described below.

Section Description
General Info Includes general information about the asset. Allows you to control if the asset shows on work orders and service requests and add a picture.
Details Purchase and other information about the asset. Select the Warranties tab on the left of the asset record to add Warranty Expiration information.
Children List of child assets assigned to the asset. Select New Child new child assest button to assign a new child asset to the current asset. To make an existing asset a child asset, edit the record of the intended child asset.
Bill of Materials List of components which make up the bill of materials for the asset. You can use this section to assign a group of components to the asset from an existing Bill of Materials template or assign individual components to the asset. Select New Component New Component button to assign components to the asset BOM.
Issued Parts List of inventory parts which have been assigned to the asset. Select New Issued Part new issued part button to assign an existing part or create a new part and assign it to the asset. Parts can also be assigned to the asset using the Parts page of the Inventory menu.
Meters / Conditions

Opens a section which includes two tabs:

Meters Tab: List of meters associated with the asset and its child assets. Use this section to record asset meter readings. Select New Meter New Meter button to add a meter based on an existing meter template or add a new asset meter. PM tasks can be scheduled based on recorded meter readings.

Conditions Tab: List of condition grades associated with the asset and its child assets. Select New Condition New Condition button to add a condition grade based on an existing condition template or add a new condition grade.

Contacts List of people who are sent an email notification when a new Service Request is submitted for the asset. Select New Contact new asset contact button to add an asset contact from the available list.
Availability Allows you to view and edit the availability of the asset.
Functions / Potential Failures

Opens a section which includes two tabs:

Functions Tab: List of functions associated with the asset and its child assets. Select New Function New Failure button to add a function based on an existing function template or add a function and create a new function template.

Potential Failures Tab: List of potential failures associated with the asset and its functions. Select New Failure New Failure button to add a failure based on an existing failure template or add a failure and create a new failure template. Asset failures are recorded on work orders when closing work orders that include the asset.

Specifications / Warranties

Opens a section which includes two tabs:

Specifications Tab: List of specifications associated with the asset. Select New Specification New Specification button to add an existing specification from the list or create a new specification.

Warranties Tab: Warranties assigned to the asset. Select New Warranty to add an existing warranty from the list or create a new warranty. Warranty documents can be uploaded on the Warranties page of the Libraries menu on the left side of the screen.

Services List of services associated with the asset. Select New Service New Service button to add an existing service from the list or create a new service.
Asset Documents Documents which have been uploaded to GLOBAL that are associated with the asset. Users assigned to Maintenance roles can use the Resources menu on the left side of the screen to upload asset documents to GLOBAL.
Asset History

List of work orders that include a service assigned to the asset. Includes total work order cost for the asset.
