GLOBAL Multisite Settings
Flexible multisite settings allow organizations of all sizes to customize GLOBAL to suit their needs, whether you maintain a single facility, multiple facilities across the country, or even around the world. It is important to determine which multisite settings best meet your organization’s needs and establish those settings during initial set-up of GLOBAL. The first step is to decide whether to set the Multi Site Option to Off or On.
Multi Site Option Off
When the Multi Site Option is off, all items created in GLOBAL are not assigned to a Site. This setting is recommended for small organizations or organizations that operate with a centralized maintenance organization.
Example: A bank operates 10 branches across a single metro area with one Facilities Management team responsible for all 10 branches. During initial set-up of GLOBAL, Multi Site Option is turned off. Items created in GLOBAL, such as Users, Inventory, and Assets are not assigned to a Site. Individual branch buildings are added as Assets with the Asset Type of Area.
Multi Site Option On
The Multi Site Option allows you to create and track separate Sites within GLOBAL. Selecting Multi Site Option On allows you to assign items such as Assets, Inventory, Users, and Work Orders to individual Sites. This setting is recommended for organizations which operate several facilities, often across a large geographic area, with separate maintenance teams. When the Multi Site Option is on, you must choose between two settings: Restricted and Unrestricted.
Multisite Restricted
When Multi Site Option is on and Restricted is selected, a User assigned to one or more Sites can access items in GLOBAL assigned to the same Site or Sites as the User. When Restricted is selected, Users can also access items which are assigned to the Root Site or are not assigned to any Site.
Example: A company operates separate manufacturing facilities in California and Florida, as well as business offices in Wisconsin. Separate maintenance teams are responsible for the assets at each facility, and each team needs to track its own Work Orders, Inventory, and other items. During initial set-up of GLOBAL, Multi Site Option is turned on the Restricted setting is selected, and a Site is created for each of the three facilities. As items are created in GLOBAL, including Users and Requesters, they are assigned to the appropriate facility. As a result, Users and Requesters using GLOBAL only see items assigned to their specific site. A Requester assigned to the California Site can make service requests only for the California Site, and Users at the Florida Site can access work orders only for the Florida Site.
Multisite restrictions can be applied to the items on the list that appears on the Multisite tab when Multisite Restricted is on. Restrictions can be applied or removed using the buttons that appear next to the items in the list. Items which do not have Multisite restrictions applied can be accessed by Users assigned to any Site.
Example: A maintenance organization is responsible for four Sites located in the North, South, Central and Eastern parts of a city. Each GLOBAL User is assigned to a single Site, and Labor resources are shared across the Sites. Multisite restrictions are applied to several items, including Work Orders and Service Requests, while the restriction is removed from Labor. A User assigned to the North Site cannot access Work Orders or Service Requests assigned to any of the other Sites, but can access any Labor resource in GLOBAL.
Multisite Unrestricted
When Multisite Option is On and Unrestricted is selected, all Users can see items assigned to any Site in GLOBAL. This setting is recommended for mid-size maintenance organizations that need to use Site information to further organize items such as Assets, Work Orders, or Labor.
Example: A school district operates 30 school facilities with similar Assets at each location and a centralized maintenance team responsible for managing maintenance across the district. Assigning Sites to items such as Work Orders, Labor, and Assets allows the district to accurately track information about each Site, while giving the maintenance team centralized access to items in GLOBAL.
